Re: Active Learning Spaces (V00), (N29, G01 & G30), Nathan & Gold Coast campuses

You are invited to submit a Tender to carry out Audio Visual works associated with the Active Learning Spaces, (N29, G01 & G30), Nathan & Gold Coast campuses, Griffith University.

Tenders close at 1:00pm on Wednesday 18 December 2019 via the QTenders link 2620160256BAUDIAUDI associated with this project in accordance with the Conditions of Tender. A Tender submitted late or by any other means than that nominated may not be accepted.

Please note that Tenders will not be opened publicly.

Any queries relating to the tender documents including drawings and specifications (if any) shall be submitted via the QTenders link 2620160256BAUDIAUDI associated with this project.

You are required to check that all Tender documents received match those listed on the accompanying Document Transmittal. Confirmation that you have received all the documents listed is to be provided to the Principal by signing a copy of the Transmittal where provided and returning it to the Principal in accordance with the requirements of the General Conditions of Tendering.

If you are unable to submit at Tender for whatever reason, you are requested to notify the person nominated above in writing stating the reason prior to the tender close date. This will assist me in preparing the tender evaluation, and will maintain your standing with the University as a potential tenderer for future works.

It is mandatory that you visit the site of the proposed project prior to submitting your Tender, as no additional costs will be approved by the Superintendent or paid by the Principal due to any failure on your part to appreciate the extent of the project and its impact on adjacent buildings or facilities, or to evaluate any constraints on access to the site of the works.

Site visits will occur on Friday 13 December 2019 at 8:00am at Nathan Campus building N29, following to the Gold Cast Campus buildings G01 and G3. Please contact Jason Francis PD&C Project Manager on Telephone [phone hidden], Mobile [phone hidden], or Email [email hidden] no later than 2:00pm Thursday 12 December 2019 confirming your attendance.

Additional site visits can be arranged via the PD&C Project Manager and will only be considered in mitigating circumstances.

The Tender shall be evaluated as follows;

  • Previous Experience (10%)
    • Provide references from three customers where similar scope of works is being delivered or was delivered within the last three years. Customer to preferably be comparable to Griffith University in size or sector.
  • Construction Programme (20%)
    • Identifying key milestones with a Practical Completion date of 21 February 2020
    • Stages of the works e.g. equipment orders, delivery, installation, Commissioning
    • Identifying Lead time items, and non-working times
  • Commissioning Acceptance Plan (20%)
    • Identifying the Commissioning process for each of the nine spaces to achieve the outcome in Item 1.5.6 User Acceptance Testing identified in the System Specification document.
  • Experience and expertise of the proposed site team (10%)
    • Provide a list of all key personnel including a half page CV identifying their previous relevant experience with similar works.
    • Provide a list of subcontractors and their key personnel including a half page CV identifying their previous relevant experience.
    • NB: a CV is not required for 315 Innovations who is the Griffith University sole source programmer. It is mandatory that the Tenderer includes 315 Innovations in their Tender submission accommodating all cost, and AV Programming requirements within the construction programme.
  • Price (40%)
    • Cost breakdown in the Bill of Materials spreadsheet (Griffith use only for future cost forecasting)

Documents to be lodged as the Tender shall comprise;

  • Form of Tender
  • Bill of Materials (in MS Excel Spreadsheet format) identifying cost
  • Any other criteria outlined above (evaluation criteria)

Possession of site will be from the date of the Letter of Acceptance unless noted otherwise.

The successful contractor will not be appointed as the Principal Contractor and will have to negotiate access to the site with the Superintendent and campus representatives. Access is to be maintained to all areas of the campus during construction.
